Digitalisation of Rental Agreements: Heimstaden Relies on Trask ZenID to Verify Tenants’ Identities
Heimstaden, one of the largest providers of rental housing in Europe, deployed the ZenID solution in cooperation with Trask. It helps Heimstaden securely identify people with whom it concludes rental agreements remotely. A process that previously required an in-person meeting and manual document checks is now fully digital, fast, and at the same time compliant with regulatory requirements.
ZenID enables identity verification using a wide range of identification documents – an ID card, passport, driver’s licence, or residence permit. The process also includes user liveness verification through active selfie verification. “Thanks to this, Heimstaden can be sure that the rental agreement is being concluded by the real person who is presenting that document,” says Jiří Janota, the manager responsible for digitalisation using ZenID at Trask.
All handling of client data meets the latest requirements for cybersecurity and personal data protection (GDPR), while also significantly speeding up and simplifying the entire process, contributing to user comfort.
After identity verification, it is possible to proceed directly to signing individual rental documents, or to use the identification later for further electronic communication with the landlord.
Audit Report within ZenID: A Clear and Traceable Record of Every Identity Verification
A key part of the solution is the generation of an audit report for the completed identification. This report is furnished with a qualified electronic signature and a time stamp, ensuring its integrity and evidential value over time. Heimstaden thus obtains a reliable digital “trail” for every completed tenant identification.
ZenID is provided as a service (SaaS), which enabled its rapid implementation and easy connection to Heimstaden’s internal systems. The company can therefore adapt the process of concluding rental agreements across its property portfolio without the need for demanding infrastructure changes.
